The Power of PDFs in an Adviser Practice

Nearly all financial advisors interact with PDF files regularly, but the “PDF IQ” of advisors varies greatly. Most advisors are aware that PDF is an abbreviation for “portable document format” and that PDF files often play a major role in the paperless office.

I have been using Paperport for many years and to be honest when i talk to IFA Software providers as soon as i tell them im using it to store documents they know that what they are offering is second rate. I use Paperport for everything.

You can download something called CutePDF this acts like a printer.

When you press print on your document, you chose CutePDF as your printer and then save the doc as a PDF.

I use this all the time!

I don't think that the disclaimer at the bottom of our e-mail quite covers our responsibility to protect personal data.

Paperport comes free with most scanners, Xerox, Cannon etc. But you MUST remember to 'back up' your files to CD or flashdrive etc, in case your PC crashes. But PDF enables me to email illustrations to clients and saves multiple trips.

Most Scanners will let you copy a document and convert it to PDF so you send it by email, and/or retain a copy for your records. It depends on what software came with the scanner......mine is Cannon 5000/5000F and does it OK.

Our National IFA firm Positive Solutions uses Paperport 9 exclusively. I could bang on about how good it is but here is not enough room to extoll its virtues. We hold no paper files and as my PA lives 200 miles from me I can get a pdf file to her in 2 minutes. Paperport is usually bundled into Brother multifunction scanners/printers such as the MFC7820N. In this day and age there is no reason why anyone should be using paper. Standalone paperport 9 costs about £60.- from PC world, so don't sacrifice functionality for "cheap" !

If I need to send a document to someone I prefer to convert it from a .doc to .pdf - I use a free converting service called Doc2PDF which does a pretty good job for basic documents. It's free, so don't expect miracles!!
